Automate the information you need every morning with Make and AI<\/h1>"},"content":{"rendered":"\n

Going back to work often means going back to the same small routines.<\/h3>\n\n\n\n

Opening several news sites.
Checking newsletters.
Visiting industry websites.
Looking for anything relevant that may have happened at a specific company.
Checking for new developments, investments, grants or market movements.<\/p>\n\n\n\n

None of this is particularly complicated.<\/p>\n\n\n\n

The problem is something else:<\/p>\n\n\n\n

\ud835\udde7\ud835\udddb\ud835\uddd8\ud835\udde6\ud835\uddd8 \ud835\uddd4\ud835\udde5\ud835\uddd8 \ud835\udde7\ud835\uddd4\ud835\udde6\ud835\uddde\ud835\udde6 \ud835\udde7\ud835\udddb\ud835\uddd4\ud835\udde7 \ud835\udde5\ud835\uddd8\ud835\udde3\ud835\uddd8\ud835\uddd4\ud835\udde7 \ud835\udde7\ud835\udddb\ud835\uddd8\ud835\udde0\ud835\udde6\ud835\uddd8\ud835\udddf\ud835\udde9\ud835\uddd8\ud835\udde6 \ud835\uddd8\ud835\udde9\ud835\uddd8\ud835\udde5\ud835\uddec \ud835\udde6\ud835\udddc\ud835\udde1\ud835\uddda\ud835\udddf\ud835\uddd8 \ud835\uddd7\ud835\uddd4\ud835\uddec.<\/strong><\/p>\n\n\n\n

And that is precisely where a simple automation can have a much bigger impact than it may seem. \u2699\ufe0f<\/p>\n\n\n\n

Recently, I built a system in Make for a client with one very specific objective:<\/p>\n\n\n\n

to receive only the information that was genuinely relevant to their business every morning, without having to search for it manually.<\/strong><\/p>\n\n\n\n

Nothing particularly futuristic.<\/p>\n\n\n\n

No need to build a huge system just for the sake of it.<\/p>\n\n\n\n

Simply identify a repetitive task and make it happen automatically.<\/p>\n\n\n\n

\n\n\n\n

\ud83e\udded The problem is not finding information<\/h2>\n\n\n\n

There is plenty of information out there.<\/p>\n\n\n\n

Probably too much.<\/p>\n\n\n\n

A company may need to monitor:<\/p>\n\n\n\n

    \n
  • specialist media;<\/li>\n\n\n\n
  • business and financial news;<\/li>\n\n\n\n
  • local media;<\/li>\n\n\n\n
  • business associations;<\/li>\n\n\n\n
  • public institutions;<\/li>\n\n\n\n
  • industry blogs;<\/li>\n\n\n\n
  • specific companies;<\/li>\n\n\n\n
  • regulations;<\/li>\n\n\n\n
  • grants and subsidies;<\/li>\n\n\n\n
  • market movements.<\/li>\n<\/ul>\n\n\n\n

    Doing it once does not take much effort.<\/p>\n\n\n\n

    Doing it every day of the year<\/strong> does.<\/p>\n\n\n\n

    But there is another problem.<\/p>\n\n\n\n

    If we automate the collection process and gather 40 articles every morning, we still have 40 articles to read.<\/p>\n\n\n\n

    That is why:<\/p>\n\n\n\n

    How the process works<\/h2>\n\n\n\n

    The overall logic is quite simple:<\/p>\n\n\n\n

    SOURCES \u2192 UPDATES \u2192 FILTER \u2192 AI \u2192 RESULT<\/strong><\/p>\n\n\n\n

    Let\u2019s go through it step by step.<\/p>\n\n\n\n

    \n\n\n\n

    1. Choose what is worth monitoring<\/h2>\n\n\n\n

    Before opening Make, there is a question that matters far more than any technical decision:<\/p>\n\n\n\n

    What information would actually be valuable to the company?<\/strong><\/p>\n\n\n\n

    In the system I built, different RSS sources are combined:<\/p>\n\n\n\n

    \ud83d\udcf0 local and regional media;
    \ud83d\udcca business and financial news;
    \ud83c\udfe2 information related to companies;
    \ud83d\udccd sources linked to a specific territory.<\/p>\n\n\n\n

    The automation goes through those sources one by one and checks whether there is anything new.<\/p>\n\n\n\n

    But quantity is not what matters here.<\/p>\n\n\n\n

    Adding a hundred websites does not guarantee a better system.<\/p>\n\n\n\n

    Sometimes, it does exactly the opposite.<\/p>\n\n\n\n

    \n\n\n\n

    2. Make automatically checks what is new<\/h2>\n\n\n\n

    Once the sources have been selected, Make checks the latest publications.<\/p>\n\n\n\n

    The system does not need to analyse the entire archive again and again.<\/p>\n\n\n\n

    It looks for new information<\/strong>.<\/p>\n\n\n\n

    \ud83d\udcc5 From Tuesday to Friday, it can focus on the most recent information.<\/p>\n\n\n\n

    \ud83d\udcc5 On Mondays, it can widen the period to include anything published over the weekend.<\/p>\n\n\n\n

    It may seem like a small detail, but it reflects something important:<\/p>\n\n\n\n

    an automation should adapt to the way the person using it actually works.<\/strong><\/p>\n\n\n\n

    Not the other way around.<\/p>\n\n\n\n

    \n\n\n\n

    3. Collect the information you actually need<\/h2>\n\n\n\n

    From each article, the system can automatically collect different pieces of information:<\/p>\n\n\n\n

      \n
    • headline;<\/li>\n\n\n\n
    • date;<\/li>\n\n\n\n
    • source;<\/li>\n\n\n\n
    • link;<\/li>\n\n\n\n
    • summary;<\/li>\n\n\n\n
    • description;<\/li>\n\n\n\n
    • image, when available.<\/li>\n<\/ul>\n\n\n\n

      Make then brings all that content together so it can be processed as a whole.<\/p>\n\n\n\n

      At this point, we have already achieved something:<\/p>\n\n\n\n

      we no longer need to open every source manually.<\/strong><\/p>\n\n\n\n

      But we still need to solve the most important part.<\/p>\n\n\n\n

      \ud83e\udde0 Deciding what deserves our attention.<\/strong><\/p>\n\n\n\n

      \n\n\n\n

      4. Avoid receiving the same information again and again<\/h2>\n\n\n\n

      This is one of those small details that separates a useful automation from an annoying one.<\/p>\n\n\n\n

      An article may remain in an RSS feed for several days.<\/p>\n\n\n\n

      Different media outlets may also report on exactly the same event.<\/p>\n\n\n\n

      That is why the system keeps a record of the URLs it has already used.<\/p>\n\n\n\n

      Before preparing a new radar, it checks that history.<\/p>\n\n\n\n

      After sending the new items, it stores their links again.<\/p>\n\n\n\n

      The logic becomes:<\/p>\n\n\n\n

      SEARCH \u2192 FILTER \u2192 SEND \u2192 REMEMBER \u2192 SEARCH AGAIN<\/strong><\/p>\n\n\n\n

      The system does not just search for information.<\/p>\n\n\n\n

      It also remembers what it has already shown you.<\/strong><\/p>\n\n\n\n

      And that greatly reduces duplicates.<\/p>\n\n\n\n

      \n\n\n\n

      5. This is where AI comes in<\/h2>\n\n\n\n

      We could do something very simple.<\/p>\n\n\n\n

      Send all the articles we find to an AI and say:<\/p>\n\n\n\n

      \u201cSummarise this for me.\u201d<\/strong><\/p>\n\n\n\n

      It would work.<\/p>\n\n\n\n

      But it would be a fairly mediocre automation.<\/p>\n\n\n\n

      In this case, the main role of AI is different:<\/p>\n\n\n\n

      \ud835\udde1\ud835\udde2\ud835\udde7 \ud835\udde7\ud835\udde2 \ud835\udde6\ud835\udde8\ud835\udde0\ud835\udde0\ud835\uddd4\ud835\udde5\ud835\udddc\ud835\udde6\ud835\uddd8 \ud835\uddd8\ud835\udde9\ud835\uddd8\ud835\udde5\ud835\uddec\ud835\udde7\ud835\udddb\ud835\udddc\ud835\udde1\ud835\uddda. \ud835\udde7\ud835\udde2 \ud835\uddd7\ud835\uddd8\ud835\uddd6\ud835\udddc\ud835\uddd7\ud835\uddd8 \ud835\uddea\ud835\udddb\ud835\uddd4\ud835\udde7 \ud835\udddc\ud835\udde6 \ud835\uddea\ud835\udde2\ud835\udde5\ud835\udde7\ud835\udddb \ud835\uddec\ud835\udde2\ud835\udde8\ud835\udde5 \ud835\udde7\ud835\udddc\ud835\udde0\ud835\uddd8.<\/strong><\/p>\n\n\n\n

      For example, we can ask it to detect signals related to:<\/p>\n\n\n\n

      \ud83d\udcc8 business growth;
      \ud83c\udfed investments or expansions;
      \ud83d\udc65 employment and recruitment;
      \ud83d\udd04 corporate changes;
      \ud83d\udcb6 grants;
      \ud83d\udcca significant industry movements.<\/p>\n\n\n\n

      And discard things such as:<\/p>\n\n\n\n

        \n
      • sports;<\/li>\n\n\n\n
      • events and agendas;<\/li>\n\n\n\n
      • opinion pieces;<\/li>\n\n\n\n
      • irrelevant information;<\/li>\n\n\n\n
      • duplicates;<\/li>\n\n\n\n
      • old news;<\/li>\n\n\n\n
      • content without a clear signal.<\/li>\n<\/ul>\n\n\n\n

        The difference is huge.<\/p>\n\n\n\n

        AI is not there to produce more content.<\/p>\n\n\n\n

        It is there to make sure we have less to read.<\/strong><\/p>\n\n\n\n

        \n\n\n\n

        6. If there is nothing important today, it sends nothing<\/h2>\n\n\n\n

        This is probably one of my favourite parts of the system.<\/p>\n\n\n\n

        The automation is not required to produce a report every day.<\/p>\n\n\n\n

        If it finds eight genuinely useful articles, it can work with eight.<\/p>\n\n\n\n

        If it finds two, it works with two.<\/p>\n\n\n\n

        And if it finds none…<\/p>\n\n\n\n

        it sends nothing.<\/strong><\/p>\n\n\n\n

        Because:<\/p>\n\n\n\n

        The workflow itself includes a condition that stops the process when there is not enough useful information.<\/p>\n\n\n\n

        No filler reports.<\/p>\n\n\n\n

        No email just because \u201csomething had to be sent\u201d.<\/p>\n\n\n\n

        \n\n\n\n

        7. \ud83d\udce9 The result: a radar, not a mountain of links<\/h2>\n\n\n\n

        When there are relevant updates, the system transforms them into something much easier to consume.<\/p>\n\n\n\n

        For example:<\/p>\n\n\n\n

        Priority<\/strong>
        What deserves attention first.<\/p>\n\n\n\n

        Headline<\/strong>
        What happened.<\/p>\n\n\n\n

        Source and link<\/strong>
        Where to find the full information.<\/p>\n\n\n\n

        Context<\/strong>
        Why it may matter.<\/p>\n\n\n\n

        Quick interpretation<\/strong>
        What it means in relation to the objective we have defined.<\/p>\n\n\n\n

        The result arrives directly by email.<\/p>\n\n\n\n

        And I think this is important too.<\/p>\n\n\n\n

        The person using the system:<\/p>\n\n\n\n

          \n
        • does not need to log into Make;<\/li>\n\n\n\n
        • does not need to learn another platform;<\/li>\n\n\n\n
        • does not need to run anything;<\/li>\n\n\n\n
        • does not need to remember to check the radar.<\/li>\n<\/ul>\n\n\n\n

          They simply open their email.<\/p>\n\n\n\n

          The automation works around the person instead of forcing the person to work around the automation.<\/strong><\/p>\n\n\n\n

          \n\n\n\n

          \u23f1\ufe0f How much time can something like this save?<\/h2>\n\n\n\n

          Let\u2019s imagine a fairly conservative scenario.<\/p>\n\n\n\n

          Every morning we spend:<\/p>\n\n\n\n

          5 minutes checking the press.
          5 minutes checking newsletters.
          5 minutes on specialist websites.
          5 minutes checking specific companies.
          10 minutes deciding what actually deserves our attention.<\/p>\n\n\n\n

          30 minutes a day.<\/strong><\/p>\n\n\n\n

          It does not sound like much.<\/p>\n\n\n\n

          Until we calculate it over a full year.<\/p>\n\n\n\n

          With around 220 working days:<\/p>\n\n\n\n

          \ud835\udde0\ud835\udde2\ud835\udde5\ud835\uddd8 \ud835\udde7\ud835\udddb\ud835\uddd4\ud835\udde1 \ud835\udfed\ud835\udfec\ud835\udfec \ud835\udddb\ud835\udde2\ud835\udde8\ud835\udde5\ud835\udde6 \ud835\uddd4 \ud835\uddec\ud835\uddd8\ud835\uddd4\ud835\udde5.<\/strong><\/p>\n\n\n\n

          For just one person.<\/p>\n\n\n\n

          And we are talking about a relatively simple automation.<\/p>\n\n\n\n

          The same structure can be used for many other things<\/h2>\n\n\n\n

          The example I have explained uses news, but the concept is much broader.<\/p>\n\n\n\n

          Detect when a company:<\/p>\n\n\n\n

          • launches a product;<\/li>\n\n\n\n
          • opens a new facility;<\/li>\n\n\n\n
          • adds a new service;<\/li>\n\n\n\n
          • appears in the press;<\/li>\n\n\n\n
          • announces an investment.<\/li>\n<\/ul>\n\n\n\n

            Monitor official sources and highlight only the changes related to specific topics.<\/p>\n\n\n\n

            Detect new calls and automatically apply the relevant criteria.<\/p>\n\n\n\n

            \ud83d\udccb Tenders<\/h3>\n\n\n\n

            Find new opportunities by territory, activity, value or keywords.<\/p>\n\n\n\n

            \ud83c\udfaf Sales prospecting<\/h3>\n\n\n\n

            Detect signals indicating that a company may be entering an interesting moment:<\/p>\n\n\n\n

            • investment;<\/li>\n\n\n\n

              Receive the genuinely important developments in a specific market every morning or every week.<\/p>\n\n\n\n

              The architecture is almost always the same:<\/p>\n\n\n\n

              SOURCES \u2192 AUTOMATION \u2192 CRITERIA \u2192 AI \u2192 RESULT.<\/strong><\/p>\n\n\n\n

              \n\n\n\n

              Does this allow you to monitor the entire Internet?<\/h2>\n\n\n\n

              Not exactly.<\/p>\n\n\n\n

              And I think it is worth being clear about that.<\/p>\n\n\n\n

              The automation in this example mainly uses RSS feeds<\/strong> because they are stable, structured and relatively easy to maintain.<\/p>\n\n\n\n

              When a website does not offer RSS, other possibilities can be explored:<\/p>\n\n\n\n

                \n
              • APIs;<\/li>\n\n\n\n
              • specific modules;<\/li>\n\n\n\n
              • HTTP requests;<\/li>\n\n\n\n
              • other integrations.<\/li>\n<\/ul>\n\n\n\n

                But it depends on each website and the options it provides.<\/p>\n\n\n\n

                That is why I prefer to talk about:<\/p>\n\n\n\n

                automating the sources a company actually needs to monitor<\/strong><\/p>\n\n\n\n

                rather than casually promising that we can \u201cautomate the entire Internet\u201d.<\/p>\n\n\n\n

                \n\n\n\n

                AI is only one piece<\/h2>\n\n\n\n

                There is something else I think is important.<\/p>\n\n\n\n

                This system uses AI.<\/p>\n\n\n\n

                But AI is only one part<\/strong>.<\/p>\n\n\n\n

                There is much more happening before and after it:<\/p>\n\n\n\n

                  \n
                1. Choose the sources.<\/li>\n\n\n\n
                2. Check them automatically.<\/li>\n\n\n\n
                3. Detect new information.<\/li>\n\n\n\n
                4. Collect the data.<\/li>\n\n\n\n
                5. Check what has already been sent.<\/li>\n\n\n\n
                6. Remove duplicates.<\/li>\n\n\n\n
                7. Apply criteria using AI.<\/li>\n\n\n\n
                8. Decide whether there is enough value.<\/li>\n\n\n\n
                9. Create the final result.<\/li>\n\n\n\n
                10. Send it and store what was used.<\/li>\n<\/ol>\n\n\n\n

                  That is what interests me when we talk about introducing artificial intelligence into a company.<\/p>\n\n\n\n

                  Not putting AI on top of everything.<\/p>\n\n\n\n

                  But asking ourselves:<\/p>\n\n\n\n

                  \ud835\uddea\ud835\udddb\ud835\uddd8\ud835\udde5\ud835\uddd8 \ud835\uddd6\ud835\uddd4\ud835\udde1 \ud835\udddc\ud835\udde7 \ud835\udde5\ud835\uddd8\ud835\udde0\ud835\udde2\ud835\udde9\ud835\uddd8 \ud835\uddea\ud835\udde2\ud835\udde5\ud835\uddde \ud835\udde7\ud835\udddb\ud835\uddd4\ud835\udde7 \ud835\uddd6\ud835\udde8\ud835\udde5\ud835\udde5\ud835\uddd8\ud835\udde1\ud835\udde7\ud835\udddf\ud835\uddec \ud835\uddd4\ud835\uddd7\ud835\uddd7\ud835\udde6 \ud835\udde1\ud835\udde2 \ud835\udde9\ud835\uddd4\ud835\udddf\ud835\udde8\ud835\uddd8?<\/strong><\/p>\n\n\n\n

                  Start with small automations<\/h2>\n\n\n\n

                  When we think about AI and automation, we often imagine large projects.<\/p>\n\n\n\n

                  But there is a much simpler way to start.<\/p>\n\n\n\n

                  Ask yourself two questions:<\/p>\n\n\n\n

                  What do we do almost every day in exactly the same way?<\/strong><\/p>\n\n\n\n

                  And then:<\/p>\n\n\n\n

                  What part of that work is simply searching, copying, checking, organising or classifying information?<\/strong><\/p>\n\n\n\n

                  That is where some of the best opportunities often appear. \u2699\ufe0f<\/p>\n\n\n\n

                  Not because they are spectacular.<\/p>\n\n\n\n

                  But because they repeat.<\/p>\n\n\n\n

                  And a small task repeated hundreds of times can eventually become a very large one.<\/p>\n\n\n\n
